Challenges Faced:

Concord Hospital came to us with the implementation of an “open shift” based schedule being their main objective. They had already found success with letting their employees select the shifts they wanted to work and wanted to simplify that process. At the time they were using a shared spreadsheet to define how many open shifts were available and letting their employees select them. However, this method was not always the most organized way of recording which employees could fill the open shifts and didn’t prevent employees taking shifts that were already filled.

If shifts weren’t picked up, a team that looks after the schedule would need to spend time sifting through remaining available staff members and manually filling them into the spreadsheet. Both this team and employees were only able to sign onto one computer at work to make their required schedule changes.

Implemented Solution

Concord knew they wanted their employees to have the ability to log-in to an application from anywhere, clearly see all the shifts they were qualified to work, and then simply accept the ones they wanted. This would be an improvement over the accessibility limitations and inability to prevent employees from taking already filled shifts that they experienced with a shared Microsoft Excel® spreadsheet. They required a solution that their employees could quickly understand and use themselves, as they would be filling in their own schedules. If it was too complicated, Concord would have to invest in extensive training for their workforce and their goal of making open-shift scheduling easily accessible to employees would not be met.

Concord worked closely with eSchedule’s free Concierge Service to enter employees into the system with their proper position assignment(s) and discuss how to generate an entirely open shift schedule. The solution would still be able to follow their current procedure of releasing six weeks of unfilled schedule far in advance and allowing their employees to populate their preferred shifts on a first come, first serve basis. Their old method saw fifty employees sharing one portal without an entirely clear indication of which shifts they were available and qualified to work. eSchedule has provided Concord’s workforce the ability to only select the shifts available to each individual and to do this from any web-enabled device. The conflict avoidance feature enables their schedule team to save time by instantly filling remaining open shifts with employees that won’t result in a scheduling conflict or overtime expense.

Conclusion

Concord Hospital was pleased they could now give their employees access to an entirely open shift schedule through the cloud. With this, employees are able to simultaneously select their preferred shifts as soon as the schedule is posted. Their scheduling process has been simplified and shift conflicts are no longer an issue.
